2024 Volunteer Board of Executives for the St Thomas Optimist Softball Association

President - Erica Newman (Current Term 2024-2025)

It shall be the duty of the President to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Schedule all regular and special request meetings,

  • Preside over all meetings of this Association and preserve order and decorum,

  • Vote only at the Election of Officers and in the event of a tie vote on all decisions before the board,

  • Be a Signing Officer on all bank transactions,

  • Appoint two (2) auditors annually which shall audit the books of this Association,

  • Negotiate cost and availability of Diamonds with the City of St. Thomas for the upcoming season and oversee the allocation of the Diamonds to accommodate the season and tournament schedules,

  • Be the point of escalation for Participants (Players and Parents), Umpires, Coaches and Executive Members if issues cannot be resolved by other means.

VP

Vice-President - Joe Vanoverbeke (Current Term 2025-2026)

  • It shall be the duty of the Vice-President to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Fulfill the President’s position in the event the President is unable to attend a meeting or continue to fulfill their duties as President,

  • Be a Signing Officer on all bank transactions,

  • Assist the President where needed,

  • Prepare and distribute season and tournament schedules,

  • Be the point of escalation for Participants (Players and Parents), Umpires, Coaches and Executive Members if issues cannot be resolved by other means.

Treasurer

Treasurer - Ashley Hunter  (Current Term 2025-2026)

It shall be the duty of the Treasurer to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Be a Signing Officer on all bank transactions,

  • Maintain a current and accurate account of all bank transactions,

  • Receive all invoices sent to STOS,

  • Present financial position to the Executive at each Regular Meeting including outstanding debts/ credits,

  • Present a financial report mid-season and closed financial report at the end of the fiscal year,

  • Organize Sponsorships, Photography, Awards and Insurance for the upcoming season,

  • Coordinate team shirt requirements with Secretary post-registration and submit to Scott,

Secretary

Secretary - Amanda Taylor (Current Term 2025-2026)

It shall be the duty of the Secretary to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Prepare and distribute the Agenda for upcoming meetings,

  • Record an accurate account of each meeting and send out minutes to the Executive after each meeting,

  • Organize and Maintain the Associations documents on Google Drive,

  • Create Marketing material for the Association,

  • Maintain the Association website,

  • Compile and provide lists of Coach and Umpire applicants to the Coach Coordinator and Umpire-in-Chief

  • Compile and organize Player Registration information and provide to Coaches, Treasurer (for team shirts) and Executives.

Equipment Manager - Vacant (Current Term -2025)

It shall be the duty of the Equipment Manager to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Liaise with the Coaching Coordinator to assemble equipment bags for each team for the upcoming season,

  • Maintain an up-to-date equipment inventory and report to the Executive when requested,

  • Address equipment repairs, replacements or reallocations, 

  • Collect quotes for any equipment requirements from 2-3 providers and present them at the next meeting,

  • Equip and maintaining equipment boxes at the diamonds.

EquipMgr

Coaching Coordinator - Julie McCoubrey (Current Term 2024-2025)

and Assistant Coach Coordinator - Matt Walker (Current Term -2025)

It shall be the duty of the Coaching Coordinator to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Receive and record all score reports from the winning team and provide to the Secretary for posting,

  • Report any discrepancy that may have arisen since the previous meeting,

  • Negotiate with the TVDSB for Jan – May indoor practices,

  • Facilitate Indoor Practices with volunteer students, and sign off on volunteer hours for each student,

  • Be the main point of contact for all Coaches,

  • Assemble and distribute Coaches Books and Schedules,

  • Facilitate the Coaches Meeting,

  • Provide all approved equipment requirements to the equipment manager,

  • Collect and Return deposits for Coach’s Books and Assigned Keys,​

UmpireChief

Umpire-in-Chief - Vacant (Current Term 2025-2026)

It shall be the duty of the Umpire-in-Chief to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Contact individuals wishing to act as an Atom or Squirt Umpire for the upcoming season,

  • Conduct at least 1 Umpire clinic prior to the start of the season,

  • Schedule Umpires based on availability in an unbiased and equal manner,

  • Report concerns that may have arisen at any games since the last report,

  • Communicate rule changes or reminders with Umpires.

FundCoord

Fundraising Coordinator - Tammy Shortt (Current Term 2025-2026)

It shall be the duty of the Fundraising Coordinator to;

  • Ensure that the Associations Aims and Objectives, as well as the Constitution and Bylaws, are respected by all who are involved within this Association,

  • Where possible attend various league games of all divisions throughout the season to observe and field inquiries from players, officials, coaches, and parents,

  • Research and present information on all fundraising initiatives as well as new ideas at the next meeting,

  • Organize all fundraising activities,

  • Register and obtain the licenses required for lotteries,

  • Report the progress and results of all fundraising initiatives,

  • Attend meetings or information sessions that may be required of the governing fundraising organization,

  • Collect and Manage volunteers to assist with fundraising initiatives.

Indoor Practice Coord

Indoor Practice Coordinator - Vacant (Current Term -2025)

It shall be the duty of the Indoor Practice Coordinator to;

  • Negotiate a location, dates and cost with the TVDSB for indoor practice,

  • Collect names of high school house league players who wish to volunteer at indoor practice, and sign volunteer hour sheets,

  • Create a practice schedule to include all qualified volunteers in a fair and even manner.
